Hiring Your First Virtual Assistant? Start Here.

Running a business can feel like juggling flaming swords, and if you’re reading this, you’re probably realizing you can’t do it all forever.

That’s where hiring your first Virtual Assistant (VA) comes in.

A VA can help you offload the tasks that are eating up your time so you can focus on what actually grows your business.

But hiring your first VA can also feel overwhelming if you don’t know where to start.

Good news? You’re in the right place.
Here’s the simple, clear roadmap for hiring your first Virtual Assistant with confidence.

Step 1: Get Clear on What You Actually Need Help With

Before you start posting job ads or reaching out to people, you need clarity.
Ask yourself:

  • What tasks are draining my time and energy?

  • What do I hate doing but still have to do?

  • What tasks are necessary but don’t require my unique expertise?

Examples of tasks you might delegate:

  • Email management

  • Calendar scheduling

  • Client onboarding support

  • Social media posting

  • Customer service emails

  • Document creation

  • Research

Pro Tip:
Make a list over the next week of every task you do that could be handed off.

Step 2: Define the Role

Hiring a VA is like hiring for any role, you want a clear job description.
At a minimum, outline:

  • Hours per week (start small 5-10 hours is common for a first hire!)

  • Type of tasks

  • Required tools or tech skills (like Asana, Dubsado, Canva, etc.)

  • Timezone or availability needs

  • Soft skills you value (organized, proactive, communicative)

You don’t need a 5-page HR document.
Just clear expectations = better matches.

Step 3: Find Candidates

There are lots of ways to find a great VA:

  • Referrals: Ask business friends who they recommend.

  • VA Agencies: Some agencies match VAs to clients for a fee.

  • Job Boards: Some businesses try places like Upwork, Fiverr, freelancing females or my personal favorite Micala QuinnVA job board

  • Social Media: There are tons of Facebook groups for VAs and business owners.

When you post your opening, be specific about what you need and include a “test” like “Please include the word ‘banana’ in your application” to filter out people who don’t follow directions.

Step 4: Interview Smart

Your first VA interview doesn’t have to feel corporate, but it should help you answer these questions:

  • Can they clearly communicate?

  • Do they have the skills they say they have?

  • Are they organized and proactive?

  • Do they align with your working style?

Sample Interview Questions:

  • Tell me about your experience with [specific tasks/tools].

  • How do you like to receive feedback?

  • What’s your process for handling missed deadlines or misunderstandings?

  • What kind of clients do you love working with?

Hiring someone is about more than skills, it’s about fit.

Step 5: Set Up Strong Systems Before They Start

Here’s where a lot of business owners stumble:
They hire a VA… then have no systems in place to manage them.

Before your VA starts, make sure you have:

  • A Password Manager (like LastPass— my personal favorite!) to securely share logins.

  • A Project Management Tool (like ClickUp,Asana,Trello) to assign tasks.

  • Clear SOPs (Standard Operating Procedures) for recurring tasks (even a simple Loom video walkthrough works!)

Pro Tip:
When I work with clients as an OBM, implementing centralized password management and task delegation systems is one of the first foundational steps I recommend.
It saves hours of headaches down the road.

Step 6: Start Small, Then Expand

Give your VA small, clear tasks at first, like inbox cleanup or posting scheduled social content.
This helps both of you build trust and confidence without overwhelm.

Once you feel good about their work, you can slowly add more responsibilities.
Think of it like onboarding, not fire-hosing.

Hiring your first VA is a huge step toward becoming the CEO of your business, not just the do-it-all operator.

It frees up your time.
It protects your energy.
And it creates the space you need to grow.

Start simple. Hire smart. Set up the right systems.
And remember, you don’t have to do this alone.
